Imagine opening your archive five years from now with no memory of the week when a folder was created. Names such as New folder, Final and Camera import offer little help. A useful name answers when the photographs were taken and what they depict, without trying to describe every person or object inside.
One possible pattern is year-month-day followed by an event, such as 2026-04-18-garden-project. It sorts naturally when written consistently and stays readable outside a particular photo application. If the exact day is unknown, do not invent one merely to complete the pattern. Use a known month or a clearly labelled estimated period instead.
A year folder with event folders beneath it may be sufficient for a family collection. A work archive may need a client or project level. Choose the structure that matches the way you search, then stop adding levels when they cease to answer a useful question. Repeatedly opening empty organisational layers makes routine filing harder.
Avoid making the folder name carry private details that every recipient of a copied collection will see. A neutral event label can be more appropriate than a full address or a child's complete name. People and locations can be documented separately when the collection needs that information.
Write a short text note at the top of the archive explaining the pattern. Include how you handle uncertain dates, edited copies and photographs contributed by another person. This is especially helpful if several family members add material at different times.
Before changing an existing collection, find out whether your photo application tracks files by their paths. Use its supported moving or renaming process when necessary. Start with a copied test folder, verify that images and edits still open, and keep a separate backup of the original arrangement.
Do not combine a major rename with a large deletion session. Separating those jobs makes it easier to understand what changed and to recover from a mistake. After reorganising one year or one project, look for a photograph using only the new names. If you still need to remember an undocumented convention, simplify the rule before applying it to the rest of the archive.
